After a successful launch of SAP S/4, UK Information Technology Services (UK ITS) would like to update the UK community on changes impacting requesting access to SAP and required training. These changes will be in effect until December 2026 as a trial period.
Effective immediately, completion of SAP Training Web-Based Training (WBT) courses are no longer required before SAP access can be granted. Compliance courses and policy acknowledgments will remain a requirement for SAP access.
What has changed?
- SAP Training WBT completion is no longer a prerequisite for SAP access approval.
- Users can submit access requests as soon as a business need has been identified (e.g., new employee, new role).
What has not changed?
- The SAP Access Request Form must still be completed and submitted for all new access requests, role changes, and access modifications.
- All access requests will continue to follow the established approval and security review process to ensure appropriate access is assigned based on job responsibilities.
- Completion of all required compliance activities associated with the requested action, including but not limited to mandatory training, policy acknowledgments, certification requirements, and other institutional or regulatory obligations.
- myUK portal applications WBT courses, such as Cash Transmittal, remain as a prerequisite to access.
Why was this change made?
- In-application guidance and support now provide users with real-time assistance while performing tasks, reducing the need to complete training before accessing the system.
- Role-based job aids, quick reference guides, knowledge articles, and FAQs are readily available to support users as they learn and perform their work.
- Departmental subject matter experts and support resources are available to help users navigate processes and answer questions.
- Removing the WBT requirement helps streamline onboarding and access provisioning, enabling employees to obtain the access necessary to perform their job responsibilities more quickly while still maintaining appropriate security approvals and controls.
Departments should continue to submit a completed form for all SAP access-related requests to ensure timely processing.
