On July 20, 2026, University of Kentucky’s SAP software will transition to a cloud-based system for an updated personalized experience that is more accessible for all users. Read more about Project Rise: Project RISE: Overview | Information Technology Services.

Ahead of this go-live date, there are additional dates that will have critical business impacts for HR operations as SAP will have multiple down times beginning July 7.

For employees and supervisors who enter, approve time and leave requests, all bi-weekly 15, Sunday, June 28 – Saturday, July 11, including holiday time if used on Friday, July 3, must be entered by July 9.

Important SAP dates for HR Operations

What you need to know about the following Critical Business Impacts: 

  • Personnel Actions Freeze: No HR or payroll activity during July 17–19  

  • SAP system closure: Multiple system downtimes beginning July 7  

  • Delayed Hiring Actions: Future bi-weekly hires (post–July 25) deferred until go-live  

  • Timekeeping Dependencies: Strict deadlines for employee entry and supervisor approvals

Important SAP dates for employees and supervisors who enter and approve time and leave requests

Thursday, July 9 

  • Employees must enter all working time and leave requests for Bi-weekly 15 (Sunday, June 28 – Saturday, July 11). This includes holiday time if used on Friday, July 3.  

Thursday, July 9 – Sunday, July 12 

  • Supervisors must approve all working time and leave requests for Bi-weekly 15 (Sunday, June 28 – Saturday, July 11). This includes holiday time if used on Friday, July 3, for their employees.    

Friday, July 10 – Monday, July 13 (prior to 10am) 

  • Employees should review their pay statements to ensure their pay is accurate.     

Monday, July 13 (prior to 10am) 

  • Deadline for employees and supervisors to make any corrections to time or leave requests for Bi-weekly 15 (Sunday, June 28 – Saturday, July 11).    

Monday, July 13 (NOON) 

  • Payroll finalizing and SAP closed.

Wednesday, July 15 (prior to 10am)

  • Deadline for employees and supervisors to make any corrections to time for July monthly.

Wednesday, July 15 (NOON)

  • Payroll finalizing and SAP closed.
