Upcoming Updates for External Accounts Including Vendors, Contractors & Volunteer Faculty
Information Technology Services (ITS) would like to inform the UK community of process updates regarding external account management. External accounts consist of externals and external learners. Externals are non-UK employees that require access to University resources for their job, research, or academics (e.g., vendors, contractors, volunteer faculty). External learners are non-UK employees that need access to UK web-based training. These updates to automated processes regarding these accounts are essential in continuing to harden the cybersecurity posture at UK.
New External Automated Process
Starting January 28, 2022, a new automated deprovision process will be put in place for external accounts which will ensure automatic deprovision of external accounts on the expiration date set by the UK authorized requestor. Details of this process include:
- Authorized requestors will continue to follow the request process outlined in How to request an External Customer Identity.
- The sponsor of the external account will receive a notification 14 days from expiration date with information on how to renew their account if needed.
- Reminder notifications will be sent to the sponsor and external account holder seven days and 1 day from expiration date informing of account expiration and steps to request renewal.
External Account Renewal
If an extension is needed for an external account, an Authorized Requestor can contact ITS Customer Services to put in a request for an extension. This request must include justification for renewal and a new expiration date. Requests will then be reviewed. If approved, the expiration date will be updated for the account. Note: External accounts cannot be extended for more than 12 months.
